Using Project Management Tools for Client Management

A big part of project management is managing the client. Sure, you need to get organized, check off tasks, gather resources and manage risk, but in the end, it’s the overall satisfaction of the client that matters most. While online project management tools are traditionally reserved for internal use (to keep the mess behind the scenes), certain aspects can be used to involve the client and keep them in the loop. Not only this, but project management tools can also be used to keep client contact information organized and within easy reach.

The new upload feature, like the rest of The Q, is simple and easy to use. All you need to do is choose a file from the little upload box on any project overview page and then click Upload.

The file will be uploaded safely and securely into your SantexQ account and it’s there for any other authorized users to access. Yay!

Using The Q: PDF Invoicing

Now that SantexQ has a bunch of new features, we thought it would be wise to a give a little rundown of how to use them. Today’s tutorial will be on PDF Invoicing. Now it’s easier than ever to connect time reporting in your online project management tool directly to billing your client.

You can create invoices two ways. If you want to create an invoice for an entire project, simply go to that project’s overview page.  If you want to create an invoice just for a specific task, go to that task’s overview page. For either, click “Create Invoice” and you will see an invoice with the associated tasks listed. You can use this page to add or delete tasks from the invoice, edit the “bill from” and “bill to”, add special instructions and add any terms and conditions.

Once everything is complete, click “Preview Invoice” to yes, preview, and then export to PDF or email to the client. It’s a pretty intuitive process. Note that once you email or export an invoice to a PDF file, there won’t be any modifications available for this Invoice again.

Using the Timesheet

We recently received a request for information on how to use the SantexQ timesheets. And so, we’re coming to the rescue! Here is a walk-through on how to get started with the timesheets on our handy dandy online project management tool,  as well as a few nifty tips on how to effectively use them on a daily basis. Don’t worry, it’s not hard!

  • To add time to a task, find that task either on your dashboard or on the Tasks tab. Once you get to that task’s info page, click “Add time to this task”. Fill in the pop-up form with the amount of time you spent and a short description of your work.
  • Continue to add time anywhere that’s needed.
  • To see a breakdown of all the time you have entered, click on the Timesheets tab. On this tab, you will see a list of all the tasks for which you have logged time, along with the number of hours you have logged for each day.
  • It is possible to add time to tasks from the Timesheet tab. Simply click on the correct box for the day and task to which you’d like to add time. The same “Add time to this task” form will pop up. Fill in your information as you normally would and presto, your time has been added! If you want to add time to a task not already on the list, simply click on the Add a New Entry link in the bottom right corner.

  • If you would like to export or print a report of the hours logged as shown on the Timesheet, simply click “Print Report” on the bottom right-hand of the screen.

SantexQ Online Project Management: Using the Calendar

Our online project management tool is all about centralizing information and keeping you organized. Using an online calendar is a fast and easy way to effectively manage your time. SantexQ’s calendar feature makes it easy to input due dates and see what’s on the horizon for your tasks and projects. Like most of The Q’s features, the calendar is easy to use and fully integrated into the tool. Here’s a quick overview of how it works and what it can do for you and your team.

From the dashboard, you can see a current 2-week calendar. If there are tasks due on any of these 14 days, it will show up in the dashboard calendar with an icon that looks like a piece of paper. Cute huh? To see a list of all the tasks due on a certain day, just click on that day in the calendar and you’ll be taken to a complete list.

You can also create a new task using the calendar. Just click on the day that your task is due, and then on the following screen, simply click “Add a new task.” Alternatively, you can create a task by clicking “Create a task” from any page, then set the due date there. The due date will automatically show up in the calendar.

In addition to the calendar, the Dashboard also includes an “Alerts” section which alerts you to upcoming due dates and how many days are left until they are due.

Using Project Management to Manage Your Holidays

The interesting thing about project management is that it’s basic principles apply to almost any project. Whether you’re talking about construction, web design, fashion or even your personal life, project management skills can be used to get organized and, ultimately, better accomplish your goals. Wait - did we say project management in your personal life? Yes. And why not?

The holidays can be a very stressful time with buying gifts, planning dinners and entertaining. A lot of tasks need to be done and you need to keep track of everything and everyone as efficiently as possible. Otherwise, you end up with a big headache. If you apply the basic principles of business project management, you’d be surprised how much easier everything will be. Here is a quick guide on how to manage your holidays:

Assign Tasks. Working together with your family or circle of friends to get everything done is a great way to bond. For example, If you’re cooking, give everyone a dish that they are in charge of. Have them find a recipe, make a grocery list, and make them the executive chef on their one dish. You can even hang a big task checklist poster in the kitchen and check things off as you cook. It feels really good to check things off your list! If you like doing things yourself, definitely create a list of tasks (such as list of who you want to buy gifts for, or a list of decoration tasks) and check them off as you accomplish things.

Manage Your Time. Create time estimates for every task or project and try hard to keep within those restraints. Allot a certain amount of time for gift shopping, grocery shopping and schedule your cooking for big meals.  If you have a set amount of time to do something, you will most likely work harder to accomplish your tasks and make much better use of your time. However, the holidays are about enjoying your time together, so if you’ve planned a fun or traditional activity with your family or friends, don’t limit yourself!

Mange Your Clients. Okay, what we really mean is remember that the holidays are about coming together and making happy memories. This time of year can be quite busy, but take a break from all of your holiday rushing around to spend time with your loved ones. They’re the reason you’re doing all of this! If you keep organized you will have the time to take a breath and enjoy all the hard work you’ve put in.

SantexQ Tips and Tricks #2

Whew! It’s been a minute since we posted a new entry. Don’t worry loyal followers, we’re still alive and kicking. It’s about time we posted a few more SantexQ tips and tricks. Our online project management tool is very easy to use, but it’s genius-ly designed to provide straightforward time and task management, as well as subtle features that can give you the details you need.

Tip #3 (see our previous post for Tips 1 and 2, they’re pretty cool): Using the “Search By” and “Group By” Features

The “Search By” and “Group by” features are a convenient way to sort your projects and tasks. Instead of having to scroll down and figure out who’s doing what and when, you can use these options to display only the information you want.

The features are easy to use and quite intuitive but here’s a quick guide anyway:

  • To view tasks assigned to a particular team member click “Assigned to, ” and choose the team member name in the drop down menu. Only admins can see tasks assigned to different team members, regular users can only view tasks assigned to themselves.
  • The same directions apply for the Created by and Responsible options.

But wait, it get’s better. You can get even more specific using the “Group by” settings. So you know what projects Herman is assigned to, but you only want to see Open (current) projects he’s been assigned to. What to do?

  • Click “Open” in the Group by options and voila! Herman’s current projects will magically appear!
  • Want to see only closed tasks he’s worked on? Click “Closed”.

Tip #4: Shortcut - Every client name is a link to their Client Info page

Shortcut City! Instead of going to the Clients Tab to find the info for a client, just click on their name from any place in The Q. You’ll be taken to their individual client info page where you can get the info you need or edit things.

You’ll find that almost everything in The Q is a link to the right information. (Ex: If you click on a project name from the Dashboard you’ll be taken directly to that project’s overview page).

SantexQ Tips and Tricks #1

Since our office uses SantexQ to manage all our project and online task management needs, we’ve found logistical shortcuts to get different actions done quickly. We thought it would be immeasurably genius to post a few of these top secret tricks on the bloggy.

Tip #1: Adding Time to Tasks…the Easy Way!

If you have already logged time for several tasks in one week you can add time to your tasks WITHOUT having to go to each individual task page. Just go to your Timesheet tab to view your logged time for the week.  To add time to a task, simply click on the box for the correct task and weekday.  To add time to a task that is not already there, simply click on the “Add a New Entry” link in the bottom right corner. Admins can also modify previously entered times from this page.

Tip #2: Use the Custom Fields Options

When you add client information, the last section - Custom Fields - can be very useful. Use the custom fields to save account IDs, usernames, passwords, client notes, or any other information that needs to be saved. By using the custom fields, not only is your info stored in one, easily accessible place, but users can access it from their own computers as necessary.

Task Tracking with SantexQ Online Project Management Tool

While The Q is an all-in-one online project management tool, one of its strongest features is task tracking. Simplicity and organization are essential for task tracking, and The Q’s setup takes the hassle out of it.

To enter time for any given task, all you need to do is go to the Tasks tab. Click on the task you’re working on and you will be shown the task details, including a description of the task, team members assigned to it, and how much time has been allotted for that particular task.

Click on “Add time to this task” and a box will come up with fields for you to enter how much time you spent working on the task and a short description of what you did during that time. Click “Save Details” and you’re good to go.

The information you just entered will appear in the Task History section for that task, and it will appear in any related reports you generate from the Reports tab.

This simple way of recording time is helpful not only for project managers, but also for businesses that work with billable hours. The fact that SantexQ is an online project management tool is  extremely convenient in that it helps keep everyone constantly updated with the project’s status.
